Terms and Conditions of Participation
These Terms & Conditions (“Terms”) apply to all services, activities, and events provided by MOUVE by Dancing with Louise (“MOUVE/DWL”), including dance classes, fitness classes, after-school clubs, lunchtime clubs, holiday camps, workshops, private/semi-private sessions, and performances (collectively, the “Activities”). By booking or participating, you agree to be bound by these Terms.
1. Fees & Payments
- All bookings must be reserved and paid in advance. Participation without prior registration and payment is not permitted.
- Children’s classes, camps, and clubs: Fees must be settled before the first day. Unpaid invoices that require chasing may incur a £10 late fee.
- Adult fitness memberships: Fees are collected monthly. Membership fees may increase with one month’s notice.
- Fees not received within 14 days of the due date may incur a 10% late payment surcharge. Additional £5 reminder charges may be applied per invoice.
- Discounts (Early Bird, multiple class, sibling, or loyalty offers) apply only when fees are paid in full within the stated period.
- Returned/disputed payments may incur a £7.50 admin fee, and participation may be suspended until resolved.
- We do not accept cheques.
2. Refunds & Cancellations
General
- All bookings are non-refundable once payment has been made.
- MOUVE cannot be held responsible for changes in participants’ personal circumstances which might prevent attendance.
- No refunds are offered if a participant changes their mind, misses a class, or does not attend.
Dance Classes (Children & Adults)
- If a class attracts insufficient participants, we may cancel and offer a viable alternative or refund.
- Children’s missed classes: one make-up session may be offered the following week only, subject to availability.
- Adults: one make-up session may be offered in the same month, provided cancellation is given with minimum 4 hours’ notice. No-shows are not eligible.
Camps & Clubs
- Cancellations 28+ days before the start date: 90% refund.
- Cancellations with less than 28 days’ notice: no refund. You may transfer the place to another child (subject to registration and suitability).
- Illness/injury (doctor’s note required): refund minus 10% admin fee, or a full credit towards a future booking.
- If a camp/club is cancelled by MOUVE due to insufficient numbers, a full refund or alternative will be offered.
- If sessions are cancelled due to reasons beyond our control (severe weather, strikes, venue closures, etc.), no refunds or credits will be given, though we will endeavour to reschedule if possible.
Events & Shows
- Tickets are strictly non-refundable once purchased.
- If an event/show is cancelled due to reasons beyond our control (e.g. weather, venue closure), no refunds or credits will be issued. We will attempt to reschedule where possible.
- If cancelled due to insufficient participants, a refund or alternative will be offered.
3. Attendance & Conduct
- Parents are responsible for safely delivering and collecting children from classes, camps, and clubs. MOUVE is not responsible for children outside class times or not handed directly to a teacher.
- Students and parents/guardians must behave respectfully towards staff, volunteers, and other participants. Disruptive, inappropriate, or unsafe behaviour may result in exclusion without refund.
- Adult members who repeatedly miss or fail to cancel classes may have booking privileges suspended.
- Mobile phones must be silenced in class. Only water may be consumed in studios.
4. Health, Safety & Injuries
- Participants are accepted on the assumption they are in good health. It is your responsibility to inform us in writing of any relevant medical conditions or injuries before participation.
- In emergencies, MOUVE may authorise medical treatment and associated costs remain your responsibility.
- MOUVE is not liable for injury, illness, or death except where directly caused by proven negligence.
5. Personal Property
- MOUVE is not responsible for loss of, or damage to, personal belongings at any Activities.
6. Class, Teacher & Timetable Changes
- MOUVE reserves the right to change timetables, teachers, or venues. Cover teachers may be provided when necessary. All teachers are fully qualified and DBS-checked.
7. Photography, Video & Media
- Photographs and videos may be taken during Activities for newsletters, marketing, and promotional use. Performances/shows will be recorded.
- If you do not wish yourself/your child to be included, please notify us in writing before participation.
8. Parents & Observers
- To minimise disruption, parents are not permitted to watch weekly classes except during designated viewing sessions.
- Meetings with teachers or management should be arranged via email or phone during office hours.
9. Force Majeure
MOUVE shall not be liable for failure or delay in providing Activities due to events beyond our reasonable control (including severe weather, strikes, venue closures, or other “force majeure” events). Refunds/credits will not be given, though we will attempt to reschedule where possible.
